01The agreement
These terms are a contract between you and The Consumer Sports Group (“we”, “us”), the operator of Camp Pilots. By creating an account, starting a trial, or using Camp Pilots, you agree to them.
If you are agreeing on behalf of a camp, a club or a company, you are telling us you have the authority to bind it, and “you” means that organisation.
If you do not agree, do not use Camp Pilots. That is not meant to be brusque — it is just how this has to work.
02Who can use Camp Pilots
You need to be at least 18 and legally able to enter a contract. Camp Pilots is built for the adults who run camps; campers do not get accounts.
You are responsible for everything that happens under your account, so keep your password to yourself and tell us quickly if you think someone else has it.
03The free trial
Every plan starts with a 14-day free trial. No card, no obligation, and no cut-down version of the product — Pilot interviews you, fills the Brain, and starts delivering finished work.
If you do nothing when the trial ends, it simply ends. We will not quietly start charging you, because we never took a card in the first place.
04Plan, price and billing
Payment is handled by our payment processor. A failed payment gives you a grace period to fix the card before the account is suspended.
- $299 per camp, per year. Two camps is that figure twice; there is no tier and no bundle.
- No per-asset fees, no per-signup fees, and no cut of what your camp takes in.
- Nothing renews automatically, because we do not store your card. A year runs out and you buy the next one when you choose. We start reminding you about two weeks before.
- Adding a camp part-way through a year costs a full year for that camp and is not pro-rated; it expires alongside the rest of your account.
- Prices exclude tax where tax applies. If we change the price, the new price takes effect the next time you pay and never inside a year you have already paid for.
05What counts as a camp
One distinct camp program is one camp — a summer flag football camp, a winter swim intensive. Multiple sessions of the same program count as one camp, not several.
Add camps from the switcher in the app whenever you need them. If you run enough of them that paying per camp stops making sense, write to us — we would rather find an arrangement than have you open a second account.
06Cancelling and refunds
Cancel during the trial and pay nothing at all.
There is nothing to cancel once a year is paid for: no card is on file and nothing charges itself. Pilot works through the end of the term you paid for and we do not pro-rate or refund a partial year. Everything Pilot made for you stays yours, and you can export it before or after you go.
If Camp Pilots has been materially broken for you and we could not fix it, email us. We would rather sort out a refund than hold on to money we did not earn.
07What Camp Pilots is — and is not
Camp Pilots is an AI-assisted service. Pilot produces strong first drafts: posters, posts, landing pages, registration forms, season plans, certificates. You review them, and you decide what goes out.
Pilot can get things wrong. It can state a date, a price, an age range or a policy incorrectly, and it can do so with complete confidence. Everything Pilot writes about your camp — above all anything touching safety, medical handling, insurance, waivers, refunds or legal compliance — is a draft for you to check before a parent ever sees it.
Nothing Camp Pilots produces is legal, medical, insurance or financial advice. Where your camp has obligations under law — licensing, background checks, staff ratios, accessibility, consumer protection — meeting them is your job, and no draft of Pilot’s relieves you of it.
08Your content and your camp data
Your camp data is yours. Your photos, your logo, your interview answers, your documents, your camper records — all yours, and we make no claim on them.
To run the service we need a licence: you grant us a worldwide, non-exclusive, royalty-free licence to host, copy, process and display your content for the sole purpose of operating Camp Pilots for you. It ends when you delete the content or close the account.
You are telling us you have the right to upload what you upload — that the photos are yours to use, that the people in them agreed to appear, and that the logo is not someone else’s.
09The work Pilot makes
As between you and us, the work Pilot produces for your camp is yours. Use it, edit it, print it, publish it, and keep it after you cancel.
Two honest caveats. First, AI-generated material may not be protectable by copyright in some jurisdictions, so we cannot promise you an exclusive right in a poster Pilot drew. Second, Pilot serves many camps, and similar prompts can produce similar work — your output may resemble another camp’s.
We may use aggregated, de-identified information about how work gets produced to improve the service. We do not reuse your camp’s content, or your camper data, for another camp.
10Camper and parent data — your responsibilities
When camper information enters Camp Pilots, your camp is the controller of it and we are your processor. We act on your instructions, and the Privacy Policy is part of them.
You are responsible for having the legal basis to collect it — in practice, the consent you gather from a parent or guardian at registration — and for telling families what you do with it. Because campers are children, that responsibility is heavier than usual, and it is yours.
You agree not to put information into Camp Pilots that your camp has no right to hold, and to remove a camper’s record promptly when a family asks you to.
11Acceptable use
Do not:
- Use Camp Pilots to break the law, or to promote a camp that does.
- Publish work that misleads parents — invented credentials, unfounded safety claims, testimonials nobody gave.
- Upload malware, probe our systems, or try to reach another camp’s data.
- Resell, sublicense or white-label Camp Pilots without a written agreement with us.
- Scrape the service, reverse-engineer it, or use it to build a competing product.
- Impersonate another camp, or claim an affiliation you do not have.
12Third-party services
Some parts of Camp Pilots hand you over to another product — check-in, rosters and camper IDs go to Camp ID, and the online academy goes to CampFiire. Payments run through a processor.
Those services have their own terms and privacy policies, and we are not responsible for what they do. Read them where you meet them.
13Availability, changes and support
We work to keep Camp Pilots up, but we do not promise a specific uptime level unless we have agreed one with you in writing. Maintenance happens, and we schedule it away from the hours camps need us most wherever we can.
We add, change and occasionally remove features. If we remove something you depend on, we will give you notice and, where we can, a way to take your data with you.

14Our intellectual property
Camp Pilots — the software, the design, the name, the logo, the Pilot character — is ours and stays ours. These terms give you a licence to use the service, not ownership of any part of it.
Feedback is welcome and we may act on it freely, without owing you anything for it. That is not us taking your idea; it is us being able to ship an improvement without a licensing conversation first.
15Disclaimers
Camp Pilots is provided “as is” and “as available”. To the fullest extent the law allows, we disclaim all implied warranties, including merchantability, fitness for a particular purpose and non-infringement, and any warranty that the service will be uninterrupted, error-free, or that AI output will be accurate.
Some jurisdictions do not allow these exclusions, in which case they apply to you only as far as the law permits.
16Limitation of liability
To the fullest extent the law allows, neither party is liable for indirect, incidental, special, consequential or punitive damages, or for lost profits, lost revenue or lost data.
Our total liability arising out of or relating to Camp Pilots is limited to the amount you paid us in the twelve months before the event that gave rise to the claim.
Nothing here limits liability that cannot be limited by law — fraud, or death or personal injury caused by negligence.
17Indemnification
You agree to defend and indemnify us against claims arising from your camp’s content, your use of the work Pilot produced, your handling of camper information, or your breach of these terms. We will tell you promptly about any such claim, let you control the defence, and we will not settle it without your agreement.
18Suspension and termination
You can close your account at any time from the app.
We can suspend or close an account that breaches these terms, does not pay, or puts other people at risk. Unless the breach is serious or a suspension is legally required, we will warn you first and give you a chance to fix it.
On termination your licence to use Camp Pilots ends. Your right to export your data survives for 30 days, and the sections that should outlive the contract — ownership, disclaimers, liability, indemnity, governing law — do.
19Governing law and disputes
These terms are governed by the laws of the State of Delaware, USA, without regard to its conflict-of-laws rules. The state and federal courts located in Delaware have exclusive jurisdiction, and both of us consent to that.
Before filing anything, email support@camppilots.ai and give us 30 days to work it out. Most disputes are a misunderstanding that a person can fix in an afternoon.
20Changes to these terms
We will post the new version here and update the date. For a material change we will email you at least 30 days before it takes effect, and continuing to use Camp Pilots after that date means you accept it. If you do not, cancel before it lands and we will refund the unused part of your year.
21The rest
These terms, together with the Privacy Policy, are the whole agreement between us and replace anything said earlier. If a court strikes out one part, the rest stands.
Not enforcing something once does not waive it. You may not transfer these terms without our written consent; we may transfer them in a merger or sale of the business.
